Managing Items

In this section you can manage workspace items: create, edit and delete items.

Important

The "Items" section name may differ depending on your workspace settings. You can choose a suitable name from the list of available options.

To change the name:

  1. Click on the user menu in the top navigation bar.
  2. Select WorkspacesManagement.
  3. In the "Workspaces" table, find the desired workspace.
  4. Click on the three vertical dots to the right of it.
  5. Select Edit.
  6. In the Item name list, select the desired name.

Available names:

Elements, Equipment, Devices, Objects, Resources, Units, Tools, Appliances, Components, Assets, Machines, Vehicles, Servers, Rooms, Classrooms, Offices, Industrial Equipment, Instruments

1. Navigating to the Section

To navigate to item management:

  • In the top navigation bar, select the Components menu item.
  • In the menu that appears, click on the Elements item.

2. Adding a New Item

To add a new item to the workspace:

  • At the top of the content, click the Add button.
  • In the window that appears, fill in the required fields.

Required fields:

  • Identifier — a unique item code for quick identification. For example: equipment inventory number (INV-2024-001), vehicle registration number (А123ВС77), device serial number, or internal company code.
  • Name — the full descriptive name of the item. For example: equipment model (Dell Latitude 5520 Laptop), vehicle make and model (Toyota Camry 2023), tool name, or resource type. Try to use clear and specific names for ease of use.

After filling in the fields, click the Add button.

Tip
The identifier must be unique within the workspace. Use a clear coding system that will help you quickly find the items you need.

3. Editing an Item

To change the data of an existing item:

  • In the table, find the item you want to edit.
  • Click on the three vertical dots to the right of it.
  • In the menu that appears, select Edit.
  • In the window that opens, make the necessary changes to the Identifier and Name fields.
  • After making changes, click the Save button.
Tip
When editing an item, remember that changing the identifier may affect search and filtering in the system. Make sure the new identifier remains unique within the workspace.

4. Deleting an Item

To delete an item from the workspace:

  • In the table, find the item you want to delete.
  • Click on the three vertical dots to the right of it.
  • In the menu that appears, select Delete.
  • In the confirmation window, click the Delete button.
Important

Deleting an item is an irreversible action. Make sure you have selected the correct item before confirming deletion.

Restriction: You can only delete an item if it has not been used in reports. If the item has already been used, you can only disable it to prevent future use, but preserve the history of existing reports.

5. Disabling and Enabling an Item

If an item has been used in reports and cannot be deleted, you can disable it to prevent future use.

To disable an item:

  • In the table, find the item you want to disable.
  • Click on the three vertical dots to the right of it.
  • In the menu that appears, select Disable.
  • In the confirmation window, click the Disable button.

To enable an item:

  • In the table, find the disabled item.
  • Click on the three vertical dots to the right of it.
  • In the menu that appears, select Enable.
  • In the confirmation window, click the Enable button.
Tip
Disabled items remain in the system and maintain links with existing reports, but cannot be selected when creating new entries.
